Pipedrive · Scale-up

Your Pipedrive works. It just doesn't scale.

You bought Pipedrive a year or two ago, it shipped, the team uses it (sort of), and now it's holding you back. Scale-up is the engagement that audits what's there, fixes the load-bearing problems, and ships the automation + integration work the original setup never got to.

What's included

Every Pipedrive Scale-up ships with this.

  • Full audit: pipelines, fields, automations, integrations, data hygiene, adoption metrics
  • Re-architecture proposal with what to keep, fix, and replace
  • Workflow automation overhaul — fix the broken ones, add the missing ones
  • New integrations: typically accounting, telephony, marketing, and reporting tools
  • Data hygiene pass: deduplication, field normalization, dead-pipeline cleanup
  • AI layer: MetaPipe MCP wired into the rebuilt configuration
  • Reporting + dashboard rebuild for the metrics leadership actually wants
  • Documentation: admin runbook + per-team training material

How we work

Methodology

  1. 1 · Audit

A read-only week. We get analyst access, document the current state, score it (pipeline health, automation reliability, data hygiene, adoption), and report back with a prioritized punch list.

  2. 2 · Proposal

Written re-architecture with three lanes: must-fix (load-bearing breakage), should-fix (high-leverage), and nice-to-have. You pick the scope; we estimate weeks.

  3. 3 · Fix the load-bearing breaks

Before adding anything new, we stabilize what's there. Broken automations, orphaned deals, duplicate contacts, fields with 90% empty values that confuse reps. Quiet wins, no demo.

  4. 4 · Build the missing piece

Whatever the audit flagged as the highest-leverage missing capability. Usually one of: real reporting, a missing integration, an outreach motion that lives in a spreadsheet, or an AI workflow.

  5. 5 · Documentation + handoff

Admin runbook updated, per-team training run, optional Care retainer to keep the new shape stable.

Deliverables

  • New + fixed integrations
  • Data hygiene migration report (records cleaned, dedup'd, archived)
  • Reporting + dashboards aligned to leadership's actual questions
  • MetaPipe MCP wired into the rebuilt account
  • Updated admin runbook + training material

Sample timeline

A typical 10-week Scale-up

Indicative — actual cadence flexes to your team's availability. Sign-off gates between phases are non-negotiable.

  1. Weeks 1

    Audit

Read-only access, current-state map, scored report.

  2. Week 2

    Proposal + scope

Three-lane scope options, sign-off on what we tackle.

  3. Weeks 3–5

    Fix the breaks

Stabilize automations, clean data, retire orphaned config.

  4. Weeks 6–8

    Build the missing piece

Whatever the audit flagged as highest-leverage.

  5. Weeks 9–10

    Docs + handoff

Runbook updated, per-team training, Care handoff if wanted.

The AI layer

MetaPipe ships with this — and with everything we build.

Every Pipedrive Scale-up includes a MetaPipe MCP connector per user. Your team's AI gets the full tool surface of your Pipedrive from day one. The same MCP we use inside the studio to QA and maintain your account.

How MetaPipe works

Fit check

Who this is for.

Strong fit

  • You've had Pipedrive for 9+ months
  • Two or more reps describe the current setup as "messy" or "we just work around it"
  • You've outgrown the original config (team grew, motions added, M&A)
  • A specific high-leverage capability is missing — reporting, integration, outreach, AI

Not for you if…

  • You actually need a fresh build — Launchpad is faster and cleaner than rebuilding a tangled account
  • You want hourly tweaks — Scale-up is a defined scope; Care is the right home for ongoing tweaks
  • The real problem is that nobody owns CRM internally — fix that first, otherwise the new config decays too

FAQ

Pipedrive Scale-up — questions we get.

How is this different from Launchpad?

Launchpad ships a new CRM. Scale-up fixes an existing one. Different work, different sequencing — Scale-up always starts with an audit, Launchpad always starts with a process workshop.

What does the audit cost?

It's a fixed-fee Week-1 deliverable, credited toward the engagement if you proceed. If the audit concludes you don't need us, you keep the audit and walk.

Can we do this in pieces?

After the audit, yes. The proposal is structured as must-fix / should-fix / nice-to-have so you can take one lane at a time.

What about data we don't want touched?

Out of scope explicitly. Anything you mark as off-limits in the audit gets a wide berth. We don't bulk-delete without a written go-ahead, ever.

Do you fix M&A consolidation?

Yes — multi-CRM unification is one of our specialities. Our flagship Scale-up is Centric Software: two acquired entities, three CRM stacks consolidated into one.

Do you offer the audit alone?

Yes, as a standalone deliverable. Many teams take the audit, run it themselves for a quarter, then come back if they need execution help.
