What we built
The core problem: Embark Law was managing client mandates, time tracking, and invoicing across three separate tools with manual data entry at each handoff point. Every new client required setup in three systems. Monthly billing required manually pulling hours from Clockodo, building a report, creating an invoice in Bexio, and updating Pipedrive.
Metawork replaced all of that with a Make.com automation layer that connects the three systems:
New mandate → instant setup: When a deal is opened in Pipedrive, Clockodo projects and Bexio contacts are created automatically. The team can start tracking time immediately with no setup lag.
Monthly billing on autopilot: A scheduled scenario pulls all tracked hours from Clockodo, builds a structured PDF report (daily breakdown, by service category, billable vs pro bono), generates the Bexio invoice with correct line items and amounts, creates the invoice record in Pipedrive, and links everything together.
Two billing models in one system: Fixed retainers and effort-based billing (EMBARK.flex) are handled by the same automation — retainer clients get invoiced on schedule, EMBARK.flex clients only when hours are logged.
Full observability: Every automation failure generates a structured alert — a Pipedrive note on the affected deal plus a Telegram message — so issues surface immediately rather than being discovered at invoice time.
